As per previous communications, the Hotel Booking Process for the tournament is beginning the week of July 2. Things teams should know:
1) HOTEL INVENTORY
There are enough rooms within a 35 minute drive of the rinks for all teams. Please note:
All Oakville hotels are a 3 night minimum stay. So if a team is booked for 3 nights, and then tries to drop a night after the schedule has been posted, you will still be charged for a 3 night stay.
2) 4 HOTEL BOOKING GROUPS
The teams that indicated they need rooms have been broken into 4 groups. The groups were created using a formula that took into account the date you made your tournament deposit payment, your room requirements (2 or 3 nights) and your distance from Oakville. So, for example, a team that registered and paid their deposit in the first couple weeks of April, needs 3 nights and is from Sudbury is in Group 1. If you paid your deposit near the end of May, you need 2 nights and you are from Whitby, then you are likely in Group 4.
3) HOTEL BOOKING TIMEFRAMES
The contact who is listed on your registration will be contacted by HTG Sports with a link to hotels. Once you receive that email, you have
72 hours to block out your rooms. You don't need names and credit cards at this point. You just need to know, 'how many rooms, and how many nights' and to choose a hotel.
4) STAY TO PLAY
Please note that all teams requiring accommodations may be asked to provide written proof of an HTG confirmed hotel block. Should this not be received prior to scheduling, unfortunately
your team will not be included in the tournament. If you paid your tournament deposit late (or haven't paid at all) and find yourself in Group 4, you may be tempted to try to book rooms on your own without using HTG. Tournament organizers would strongly encourage you not to do so as we are going to be extremely vigilant and strictly enforcing our stay-to-play policy this year.
